As he explains:
“What you don’t want is half of your data captured through a software solution, and then still some paper processes behind for those other day-to-day records.”

One of the themes that emerged from the discussion was that software should remove repetitive administrative tasks rather than create new ones.
For example, invoicing can often involve manually adding funding adjustments or consumable charges every month.
Instead, Tim encourages providers to ask a simple question:
“Can it automate that function for you to save you that time when generating those bills?”
The same thinking applies across recruitment, HR administration and enquiry management.
Individually these tasks may only save a few minutes. Across dozens of children, multiple staff members and hundreds of processes each month, those efficiencies become significant.
More importantly, they allow managers to spend more time leading their teams and supporting children rather than completing paperwork.
Recruitment and HR are becoming just as important
Staff recruitment continues to be one of the biggest operational challenges facing the sector.
Many providers still advertise vacancies manually, respond to candidates individually and manage recruitment through email.
Tim believes nursery software can increasingly simplify this process.
“Software is there to support that function, and there is early years dedicated software to support that too.”
The same applies once employees join the organisation.
Managing contracts, qualifications, annual leave, mandatory training and compliance through one system provides managers with greater oversight while reducing the risk of important tasks being overlooked.
Before buying something new, explore what you already have
One of the most valuable points raised during the conversation was that the answer may not be purchasing another platform.
It may simply be understanding the one you already own.
Leah observed that many operators assume functionality is missing when, in reality, it simply hasn’t been explored.
“The chances are if you feel that something’s missing, someone else has probably raised it before. The chances are it’s already in there. You just need a little bit more training.”
Tim agrees.
“There’s no harm in just logging in, having a play around… and if you find there’s a gap, go and speak to your existing supplier to see if it’s possible.”
A conversation with your software provider could reveal features that have been available all along but never implemented.
